System Access for Temple Employees Who Change Jobs

When an employee changes jobs within Temple, it is important for supervisors to keep track of the systems and resources that the employee is authorized to access.

Overview

When employees change jobs within Temple, the outgoing supervisors are responsible for revoking access to any systems and resources employees no longer need. Likewise, the incoming supervisors are responsible for requesting access to new systems and resources that employees need.

The following table lists some of the administrative systems/resources that employees might use to perform their jobs. It also provides information on how to request and revoke access to these systems/resources and transfer ownership of files.

  • Departmental Account/ Distribution List
Log in to TUportal. Then, on the left under TUapplications, click Departmental Account Management. Log in to TUportal. Then, on the left under TUapplications, click Departmental Account Management.
  • Shared calendars
    (TU Gmail) 

To reassign ownership, log in to TUportal. Then, on the left under TUapplications, click Departmental Account Management.

  • Shared calendars & conference room schedules (Exchange)
The exiting employee should perform the following steps in Outlook: 1) Right-click the calendar and select Properties. 2) Click the Permissions tab. 3) Click Add to a new owner. 4) Next to Permission Level, select Owner. 5) Click OK. The new calendar owner should perform the following in Outlook: 1) Right-click the calendar and select Properties. 2) Click the Permissions tab. 3) Click the name of the person who is leaving the department and click Remove. 4) Click OK.

Physical Building Access

Physical building access is another area that supervisors need to review when an employee changes jobs within Temple.

  • Building Swipe Card Access
    To request/revoke access, go to the Temple University Interactive Forms site. Then click Access Card and select the form corresponding to your location.
  • Building Security Code Access
    To request/revoke access, initiate a Facilities work request. In the request, include the employee's name, TUid and location (building and room number). The requestor should be the designated person in charge of the alarm system for a particular department and should keep track of who is allowed access.
  • Physical keys for offices
    The outgoing supervisor should collect any keys prior to the employee leaving his/group.
